Event Policies

These policies apply to every booking with Jonathan Kaplan as Jack Sparrow. Please read them before you book.

If you have any questions email: contact@kaplansparrow.com or use the form on the Booking page.

How to book:
Request a quote via the form on the main page or booking page. You’ll get a reply within 48 hours with availability and a personalized quote based on your events requirements. Once you approve the quote, you’ll get an invoice for the agreed details.

A 50% non-refundable deposit confirms the booking and acceptance of the Booking Terms linked at payment. Quotes and availability checks do not hold a date.

Additional performers or extras are booked separately, with their own invoice and deposit.

Booking is also possible through the platforms Gig Salad, and The Bash.

Accepted methods:
Credit/debit (Stripe), Venmo, PayPal, or cash/check. Other methods by arrangement.

Payment Schedule:
Standard bookings: 50% non-refundable deposit to secure the date. Remaining balance is due as stated on the invoice (usually day-of, before the performance starts). Travel fees on the invoice are due with the deposit. If the remaining balance isn’t paid, the performance may be paused or cancelled until it is.

Late Payments:
If the performance still happens and a balance is unpaid afterward, a $50 late fee applies each week until the balance is paid in full.

Rush bookings:
Less than 14 days’ notice: 100% of the invoice is due at booking, plus a rush fee.

• Under 14 days’ notice: $50 – $175
• Same-day or next-day: $175

Travel Fees:
Travel is complimentary within 50 miles one-way of St. Augustine, FL.
Beyond that, travel is $1.00 per mile on the full round-trip distance. Any travel fees on the invoice are due with the deposit.

Trips over 150 miles one-way need a custom quote and may include lodging, tolls, and other expenses. Those bookings may also require a higher deposit or full payment up front, and they’re subject to availability.

Distances are calculated using Google Maps and the most reasonable route.

Client Cancellations

Cancellations with 14 or more days’ notice receive a refund of any amount paid beyond the deposit. The deposit is non-refundable.

Cancellations within 14 days may result in loss of the full fee.
The initial deposit made to confirm booking is non-refundable.

The deposit may be applied to a new mutually agreed date within 30 days, subject to availability (one-time only). All changes or cancellations must be sent in writing to contact@kaplansparrow.com.

If the Captain must cancel

In the event of an illness, emergency, or circumstances beyond reasonable control. The client will receive a full refund of all payments made, including the deposit, or the option to reschedule within 60 days.

Refunds are processed within 7–10 business days to the original payment method. Please notify the Captain of any issues within 48 hours of the event.

Extra performers, photographers, and other support booked through Kaplan Sparrow are separate from the Captain’s appearance. See Pricing & Services for options.

Each add-on gets its own invoice and terms. Payment of that invoice in full is required to confirm any booking of additional performers and services.

If an additional performer or event service provider booked through Kaplan Sparrow is unable to appear, a replacement will be arranged when possible. If no replacement is possible, a refund for that specific service will be provided.

Please provide a safe space for the performance, a private break/changing area for longer bookings, and weather cover or an indoor backup for outdoor events.

You’re responsible for guest behavior. If you or your guests damage costumes, props, or equipment, fees apply ($100 minor / up to $500 major). The Captain and crew may halt or adjust the performance if conditions are unsafe or significantly affect its quality.

Proof of liability insurance can be provided when an event requires it. Please request it when you book.

You and your guests are welcome to take photos and videos during the performance. You’re free to use them for personal keepsakes and to promote your own event or business online (social media, your website, and similar).

Jonathan Kaplan and any additional performers booked for your event may also use photos and videos from the day to promote their own work, unless otherwise requested in writing.

Hiring Jonathan Kaplan does not authorize use of the photos, videos, or character likeness for printed materials, merchandise, resale, ads, or other commercial products.

Important reminder: Jonathan Kaplan appears as an independent Jack Sparrow-style tribute / character entertainer. Any additional performers provided for an event are likewise independent tribute and character entertainers.

Neither Jonathan Kaplan nor any additional performers are affiliated with, endorsed by, sponsored by, or connected to The Walt Disney Company, Jerry Bruckheimer Films, Johnny Depp, or any related entities, brands, or rights holders. This is creative tribute and character entertainment only.

Jonathan Kaplan does not grant any trademark or brand rights. Commercial or promotional use of the likeness (including Instagram, ads, reels, paid social, press, print, or brand marketing) may create trademark or other intellectual-property issues with the rights holders. That risk sits with the client. Jonathan Kaplan is not responsible for claims arising from a client’s use of photos, videos, or the character likeness in marketing or commerce.
